What's New in Release 4.0.1
- The DocuShare Archive Server add-on enables your organization to increase
document storage by archiving content to a safe location. Using DocuShare
search features, you can easily retrieve archived content.
- The DocuShare Email Agent add-on improves collaboration and facilitates
email management by enabling you to send email messages to DocuShare
collections and groups. With your email stored in collections, you can
manage the content using DocuShare features.
- New features in DocuShare Outlook Client include: email messages stored
as DocuShare mail message objects, server mapping synchronized between
the Windows and Outlook Clients, Address Book displays addresses for
individually selected object types, and Outlook Client properties added
to the DocuShare Client Properties window.

Web UI
- My DocuShare provides a portal view of your DocuShare site.
Using My DocuShare you can manage objects in a private collection, access
your favorite objects, maintain a single calendar of your favorite events,
access your routing tasks, and view your browsing history.
- In addition to adding objects to your list of favorites, you can access
your favorite objects on Web UI pages such as Permissions (favorite
users and groups) and Change Location (favorite collections).
- You can manage an online forum by posting topics and replies to a
discussion object. All replies are threaded and fully searchable. Replaces
bulletin boards and bulletins.
- Enhanced search features include new menus for quick word searches
and a single, redesigned advanced search page. Paging controls and sort
options added to the search results page.
- An expandable content map allows you to view all site objects from
a single page and easily edit multiple objects in different locations.
- A new wizard-based Routing Slip enables you to create multi-step workflows.
You can now route individual document versions.
- You can assign access permissions to individual document versions
and set the preferred document version.
- For paged displays such as favorites, collection contents, and search
results, you can specify the maximum number of lines to display per
page.
- Copy and Paste commands added to the Edit Selected menu let you easily
copy an object to another location.
Administration UI
- A new Mail Message object class provides properties specific to mail
messages.
- You can access properties common to all objects from a single page,
Global Property Values.
- DocuShare provides feedback if a dsindex index_all is required after
applying property updates.
- You can set logging levels for DocuShare services from a single page.
- Configurable properties are added to several services and components
pages, including the ability to configure and manage document routing
and workflow tasks.
- Improved trashcan performance and management of trashcan objects.
DocuShare Windows Client
- The Add-in for Microsoft Word provides two new File|DocuShare commands:
Save As New Version and Open Offline.
- The Version History provides a hierarchical display of document versions,
renditions, and content elements.
- Windows Client supports the new Mail Message object.
- Windows Client supports roaming profiles by storing user profiles
on a network location.
- Windows Client automatically updates a mapped server's objects and
properties when the administrator updates the server's schema.
- New integrated logging features help with troubleshooting tasks.
- Netegrity SiteMinder integration is provided for authentication and
authorization management.
Known Issues
- Administration UI
- Custom property does not appear on Display Sequence page [7538]
- After adding a custom property you need to update the schema
to save the new property to the database.
- Conversion Services
- Some documents cannot be converted to HTML - Some documents
of formats supported for HTML viewing may not display fully or may
result in an error. There are limits on what HTML can handle, and
some features or specific files are not yet supported properly by
the Verity KeyView software on which DocuShare’s HTML Viewing functionality
is based.
- Document Approval and Routing
- Only available through the Web UI - Document Approval and
Routing is available only in the Web UI. Other clients, such as
WebDAV or the Windows Client, always publish documents without routing.
Although, you can customize document workflows using the DocuShare
Developer Environment.
- Routing tasks and upgrades - Routing tasks are upgraded
from DocuShare 3.1 to 4.0. However, routing tasks are not upgraded
from DocuShare 3.0.2 to 4.0. You should let the tasks complete before
upgrading. For more information, call Customer Support at 800-835-9013.
- Completed routing tasks display on My DocuShare [7716]
- After completing a routing task that is displayed under Tasks
on My DocuShare, the task remains in the list until you log out
of and log into DocuShare.
- Installation and Upgrade
- Installations on Linux and Solaris servers [4684] On Linux
and Solaris servers, warning messages and stack trace information
may appear after the initial splash screen and license agreement
display. However, DocuShare installs correctly.
- Searching and Indexing
- Search results may not include recently added content -
Indexing occurs after new content is added to the site and may still
be queued for indexing by the background indexing process. This
delay is normally momentary unless a very large amount of content
has been indexed or the DocuShare/Verity Indexing Service is stopped.
- Some documents cannot be indexed - Occasionally, indexing
is unable to extract some or all of the text from a document. The
Verity text extraction libraries used to index file contents support
a variety of file formats, but will have trouble with certain files.
- Search returning bad search results - If incorrect search
results are being returned, execute the dsindex command-line utility
to rebuild the search indices.
- Reindexing can take 100% CPU - Reindexing the DocuShare
site can take several hours and use 100% CPU. Therefore, it should
be scheduled to run after the business day.
- WebDAV
- Refreshing Microsoft web folders [7282] - With some versions
of Microsoft web folders, a Refresh (F5) does not update the Folders
view when a collection has been deleted or renamed.
- DocuShare Clients
- Cannot use Caps Lock key when typing a Summary [23155]
- When using the Checkin Wizard to check in a new document from
Word, do not use the Caps Lock key when typing a summary. Doing
so causes Word to shut down.
- Error uploading document [27300] - Using Windows Client
on Windows XP, an error can occur when trying to upload a document
to a DocuShare server runing 4.0 or higher with NTLM enabled (auto
login).
- Outlook Client assumes IE default browser [564] - The Outlook
Client assumes Microsoft Internet Explorer is the default browser
for the web view capability. Some functions are not available with
the Netscape browser.
- Log off and log in before using Client application [2955,
4427] - If an administrator installed one of the DocuShare Clients
on your PC, do the following after installation is complete: 1.
Log into your desktop. 2. If the DocuShare Add-ins for Microsoft
Office are enabled, open each Office application before opening
My DocuShare Places and Outlook. This ensures that the DocuShare
commands appear in each application's File menu. 3. Log off your
desktop.
- Error occurs when mail message includes custom, required property
[8455] - If the mail message object on the server includes a
custom, required property, an error occurs when you use Outlook
Client to send a message to a collection.

in the DSClient install directories.

- [27456] After creating a custom Event URL property and you
change the Length, the update is made to the database.
Command Line Utilities
- [26540] Using dsgetprop and dssetprop with expiration_date
and custom date properties now works.
Installation and Upgrade
- [26649] You are able to log into DocuShare after changing the
DocuShare internal domain name and then upgrading from release 3.1 to
4.0.
Web Interface
- [27323] When renaming multiple documents, the documents display
on the Confirm Rename page in alphabetical order.
- [27466] An error does not occur when changing the Repeat to
None and the number of occurrences to 0 for a recurring calendar event.
Windows Client Components
- [7645] DocuShare calendar events display correctly when using
Outlook Client with Outlook 2003.
- [8066] Using Outlook Client, you can successfully open collections
that contain several hundred subcollections.
- [23244] Using Outlook Client, you can forward a mail message
with an attachment that is stored in a collection.
- [23620] When displaying the properties of a server mapped to
My DocuShare Places, the user's account information is included on the
Account page.
- [25367] Using Outlook Client installed on a computer configured
with Windows XP and Outlook XP, you can now copy a mail message with
an attachment to a collection.
Fixes in Release 4.0
[22144] Rebooting a server that has several network adapters does
not change DocuShare's Server ID.
[24705] Uploading a new document or document version does not cause
an error when the document repository is on a network optical drive.

Web Interface
- [22153] When using the Windows Client Handle checkout from
web browser option to check in an edited document whose filename contains
a space, you are able to reopen the document again from your browser.
This situation occurred on DocuShare servers using the PostgreSQL database.
- [23643] Error message improved when trying to delete multiple
users who own objects.
- [23743] After saving a scanned document to a collection, the
Author property is retained.
WebDAV
- [23563] When logging is enabled, many WebDAV operations are
now logged in access.csv.
Windows Client Components
- [21033, 23604] A Site Administrator or a Content Administrator
can unlock a document locked by another user.
- [21844] The File Type menu in Find Files in DocuShare allows
you to search for collections only as well as several other types of
objects and files.

Server Properties window.
- [23658] Custom objects display in menus using their labels
